
A simple step-by-step guide to installing the app and running your hours, invoices and payments. Takes about 5 minutes to set up.
NCW runs in your web browser — there's nothing to download from an app store. Open the link your provider gave you (for example nexuscrewworkforce.com/app).
To make it feel like a real app, add it to your home screen:
Or simply tap Install app in the app's side menu (or on the landing page) — NCW walks you through it. Once installed it opens full-screen, loads instantly, and keeps working when you're offline.
Next time, just use Sign in with the same email and password.
Go to Settings and fill in your details — these appear on every invoice:
Tap Save when done.
Open Clients → + New client and enter:
Note: billing type and rate are no longer set here — you choose them each time you log work, so rates can flex job to job. See the next section.
You can Edit a client any time, or Delete / Archive them.
Two ways to record hours under Timesheets:
The billing type and rate you enter apply to that entry only — nothing changes on the client, so rates can differ day to day or job to job. Add extras like travel or call-out if needed. Every entry can be edited or deleted.
Under Quotes, build a line-item estimate and send it. You can Edit or Delete a quote, and when the client says yes, tap → Invoice to turn it into an invoice instantly. (Pro plan.)
Expenses: log fuel, materials, tools and more, and track the GST you can claim. Pick a category or add your own with + Custom category. Each expense can be edited or deleted.
Reports: see a quarterly BAS summary (GST you collected minus GST you paid) and your profit — ready for your accountant. (Pro plan.)
Open Plan & billing to see your current plan and expiry. To upgrade or renew:
You'll see a reminder in the app when your plan is close to expiring.
The Messages tab is a direct line to your provider — use it for billing questions, upgrades or any help. You'll see their replies right there.
Tap 📎 to attach a photo or PDF (up to 3 MB) — handy for sending a receipt or document. You can Download any attachment you've received, and Delete your own messages any time.
If you lose signal, NCW keeps showing your last saved data and displays an Offline notice. Logging work and clocking in/out still work — they sync automatically when you're back online. (New clients, invoices and emails need a connection.)
Tap the bell at the top of the menu to see what needs attention: overdue invoices, when your plan is due to renew, changes waiting to sync, and news or offers from NCW. A number on the bell means you have something new. Tap ✕ on an announcement to dismiss it.
If you've enabled push notifications (Settings → Notifications), tapping a notification on your phone opens NCW straight away — you don't need to hunt for the app first.
Go to Settings → Invoice template and choose a header style:
Pick an accent colour and add a footer note (e.g. "Thank you — payment within 14 days"). A live preview updates as you go, and it applies to invoices and quotes.
Some clients want invoices their way. Open a client and use Invoice format for this client to give them their own style, colour and footer — or upload their letterhead:
Everything else (your default) stays the same for your other clients.
When you log an extra/allowance on a job, tap Attach bill / receipt and snap a photo. On the invoice you'll see a 📎 — tap it to view the receipt, and it's added as an extra page when you Print or download the PDF, so your client gets the proof with the invoice.
With GPS on, Clock in saves where the job was, and the address shows on the timesheet and the invoice line — handy proof of where you worked. Allow location access when your phone asks.
Bill the same client every week, fortnight or month? Open the invoice → View → set the ↻ Recurring dropdown to Weekly, Fortnightly or Monthly. The invoice gets a ↻ badge in your list.
Then choose how copies get made in Settings → Automation → Recurring invoices:
Manual — when a copy is due, a Generate now button appears next to the invoice; tap it to create a fresh draft. Auto — NCW creates the due drafts by itself each time you open the app. Off — nothing happens automatically; you can still tap Duplicate any time.
Overdue invoices show a Remind button — one tap opens a pre-written, polite reminder email with the invoice attached. The ⏰ Remind all overdue button (top of Invoices) lists every overdue invoice so you can fire them off one by one.
In Settings → Automation → Payment reminders, choose Auto and NCW will pop that overdue list up for you once a day when you open the app — so late payers never slip your mind.
Client statement: Clients → Statement gives a printable Statement of Account — every invoice, total billed, total paid, and the amount due. Perfect to send when a client asks "what do I owe you?"
Invoice CSV: Invoices → ⤓ CSV downloads all your invoices (date, number, client, ABN, subtotal, GST, total, balance, status) in a format your accountant or Xero/MYOB can import.
Track every work trip and vehicle cost — ATO-ready. Open Vehicle log in the menu.
The dashboard shows your business-use % and the estimated cents-per-km deduction (capped at 5,000 business km).
Open Reports. Under the BAS summary you'll find two report libraries:
Every report has a Period quick-pick (financial years, months, calendar years) plus custom dates, client/vehicle/type filters, search and sort — and exports to PDF, Excel and CSV. Dates are DD/MM/YYYY and amounts are AUD, Australian standard.
Every list (Timesheets, Invoices, Quotes, Expenses, Vehicle log, Reports) has a date-filter button that opens a picker with three tabs:
All financial-year figures across the app (reports, BAS, tax packs, filters) consistently run 1 July to 30 June. Tap a dashboard number to jump straight to the matching filtered list.
